Internet Speed Making You Feel Like You’re Playing “Red Light-Green Light” With Your Accounting/Bookkeeping Clients?

As the majority of technology continues its migration to the cloud, there are many people that scratch their heads and ask, “Am I becoming more efficient or am I spending more time waiting for data to process and screens to advance?”

Now the reality is that there are numerous potential benefits of a cloud based resource that cannot be overlooked such as simplified sharing with remote users, reduced IT/software expenses, integration with other cloud based applications and more. For many people there is an incentive to migrate their data/software to the cloud based on the potential savings related to these benefits.

However, not everyone has the need for the aforementioned benefits and in those cases, the cloud becomes an added expense where a business owner is now relying on an internet connection that is not necessarily consistent and a cloud based server that can be subject to delays. For that client, all they can see is that when they want to perform a process as simple as writing a check or creating an invoice, they are in some cases waiting for their internet to connect and the cloud based server to respond before they can even begin their work.

This is also the case when a cloud based screen sharing resource is used. Under the best of circumstances, the remote user is subject to the speed of both theirs and the host computer’s internet connection (often causing delayed keyboard/mouse responses and slower function completion) and the host has to surrender their computer for that interval of time. This process cannot even be initiated if the host computer is not turned on.

If the need for sharing a QuickBooks file with a remote user (accountant/bookkeeper/home office) is just for intermittent collaboration without the need for simultaneous remote access, the expense of a cloud based solution is in most cases not warranted. The previously mentioned delays also include an expense to the business owner/accountant/bookkeeper related to lost time.

If you are just looking for a simpler way to collaborate with your QuickBook clients, there are other alternatives including Qbox. With Qbox, accountants and their client’s continue to use the same desktop version of QuickBooks. However, using Qbox, they have a locally hosted copy of the file that is continually synchronized with their remote client’s copy. In other words, no more sending QBW files back and forth, no more screen sharing, no expensive cloud hosting and no more downloading/uploading of QuickBook files. With Qbox, there is also a locking technology that avoids the creation of conflicting copies.

Using Qbox, you are not subject to the performance of your internet (or lack thereof) while working in the file. The internet/cloud is only involved during the synchronization process which initiates automatically when the file is closed. While synchronizing, the user can open and work on another QuickBooks file or any other locally hosted program. In other words, you are not waiting on the internet. Additionally, you can work on your client’s file even if their computer is turned off.

For $6-$9 a month both you and your client have access to a local copy of the full working version of the QuickBooks file that you can open and access, while experiencing the performance of your local computer and sharing updates automatically.
